Under General Data Protection Regulation (GDPR) the Trustees of Open Door Trust (the Trust) are the Data Controllers and the Trust Administrator acts as our Data Protection Lead.
Why are we asking for your details?
We are collecting this information to enable the Trust to keep in touch with you; to provide support to you as appropriate; to generate support for the Trust, including financial; and to promote the Trust’s aims and activities.
What will you do with this info?
Your name and contact details will be entered into our Trust database. This information may also be stored in the Trustees’ and Trust Administrator’s contacts. We would also like to include your details in our mailing list so we can distribute newsletters and information relevant to the life of the Trust. If you are happy for your details to be included, please complete the attached consent form.
How do you keep my information safe?
Your data is password protected and is accessed by the Trust Leaders, the Trust Administrator and with their office support teams, where necessary. This information will not be shared with anyone else without your consent.
Can other people view my details?
The general public can’t view any of the details we store about you. If you are part of a team (e.g. Foodbank), the team leader will use your name and email address to create team rotas.
How long will you keep my information?
Your contact details will be removed from the database when it is no longer necessary for us to keep your details because of your involvement in a team or project e.g. you cease to be a CAP client. You can ask for your details to be removed at any time by contacting the Trust Administrator.
Can I see what information you hold about me?
You have the right to ask to see any information we hold about you by submitting a ‘Subject Access Request’ to the Trust Administrator. You also have the right to ask for information which you believe to be incorrect to be amended.
Who can I ask for more information?
If you are concerned about the way your information is being handled, please speak to our Data Protection Lead. If you are still unhappy, you have the right to complain to the Information Commissioner’s Office.
